This Privacy Policy explains how Core Digital Solutions Sdn Bhd (“Core Digital Solutions”, “we”, “us” or “our”), a company incorporated in Malaysia and formerly known as Smart Media Soft, collects, uses, discloses and protects personal data when you visit our website, contact us, or engage us for marketing, automation, web and data services.

By using our website or giving us your personal data, you confirm that you have read and understood this Policy. If you do not agree with it, please do not use our website or send us your information.

1. Information we collect

Information you give us: your name, company name, job title, work email, phone number, and anything else you include when you complete our audit request form, email us, or speak with our team.

Information we collect automatically: your IP address, browser type, device information, the pages you view, the site that referred you, and the dates and times of your visits, collected through cookies and similar technologies.

Information from other sources: analytics and advertising platforms, and business contact databases, where you have made your details available or agreed to their sharing.

2. How we use your information and our legal basis

We use personal data to respond to your enquiries and provide the audit, proposal or services you ask for; to perform our contract with you and with the client that engages us, including running advertising accounts, analytics, CRM and automation on your behalf; to send service updates and, where permitted, marketing about our services that you can opt out of at any time; to improve our website and keep our services secure; and to meet legal, tax and regulatory obligations.

Where the Malaysian Personal Data Protection Act 2010 (“PDPA”) applies, we process personal data on the basis of your consent, the performance of a contract, compliance with legal obligations, and our legitimate interests in operating and promoting our business. Where other data protection laws apply, we rely on the equivalent lawful bases available under them.

3. Cookies and analytics

Our website uses cookies and similar technologies to keep the site working, remember your language preference, and understand how the site is used.

We use analytics and tag-management tools to produce aggregated statistics about visits. You can control cookies through your browser settings; disabling some cookies may affect how the site works.

4. Disclosure and international transfers

We may disclose personal data to service providers that host our website, send email, or provide analytics, CRM and payment tools; to advertising and analytics platforms used to deliver and measure campaigns; to professional advisers such as lawyers and accountants; and to authorities where required by law.

When we act as a service provider to a client, we process personal data on that client’s instructions and disclose it only as needed to deliver the engagement. We do not sell your personal data.

Some of our service providers are located outside Malaysia. Where we transfer personal data abroad, we take reasonable steps to ensure it is protected to a standard comparable to that required under the PDPA.

5. Data retention and security

We keep personal data for as long as needed to fulfil the purposes in this Policy, including for the duration of our engagement and a reasonable period afterwards to meet legal, accounting and dispute-resolution requirements, after which it is deleted or anonymised.

We maintain administrative, technical and physical safeguards designed to protect personal data against loss, misuse and unauthorised access. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6. Your rights

Subject to applicable law, you may ask for access to the personal data we hold about you, ask us to correct it, limit or withdraw your consent to its processing, and ask about how we disclose it. To exercise these rights, contact us using the details below. We may need to verify your identity before we respond, and we may charge a small fee where the law allows.

7. Children and changes to this Policy

Our website and services are directed at businesses and are not intended for children, and we do not knowingly collect personal data from children.

We may update this Policy from time to time. The current version is always posted on this page with its effective date, and material changes will be highlighted where appropriate.
